No-Show & Cancellation Policy
Last updated: 8 May 2026
Your appointment time is reserved exclusively for you. When an appointment is missed without notice, we cannot offer that time to another patient who may need it. This policy explains how we handle cancellations, late arrivals, and no-shows so expectations are clear from the start.
The short version
- 24+ hours' notice: no fee.
- Less than 24 hours / no-show: 100% of the appointment fee.
- Late arrival: we'll see you for the remaining time; the full session may still be billed.
Cancellations & Rescheduling
We require at least 24 hours' notice to cancel or reschedule an appointment. You can cancel through:
- JaneApp at essentialchirormt.janeapp.com (use the link in your confirmation email)
- Phone: 905-856-2299
- Email: info@essentialhealthclinic.ca
Late Cancellations & No-Shows
Cancellations made with less than 24 hours' notice, and missed appointments where you do not arrive, are charged at 100% of the appointment fee. The fee is processed against the credit card on file in JaneApp. A receipt is provided for insurance reimbursement when applicable.
Late Arrivals
If you arrive late, we will see you for the time remaining in your scheduled slot so we don't run into the next patient's appointment. The full session fee may still apply because the time was reserved for you. If you anticipate being late, call us as soon as possible — we'll do our best to adjust.
First-Time Patients & New Treatments
For your first appointment with a new practitioner, or before any aesthetic treatment, we may require a credit card on file or a deposit at the time of booking. The card is only charged in the event of a late cancellation or no-show, or applied to the appointment fee at your visit.
Exceptions
We understand emergencies happen — sudden illness, family emergencies, weather events. If you need to cancel within 24 hours due to a genuine emergency, contact us directly. We review these on a case-by-case basis and will waive fees where the situation reasonably warrants it.
Repeated No-Shows
If a patient has multiple late cancellations or no-shows in a short period, we may require pre-payment in full to confirm future appointments, or in some cases decline to book further visits. We'd rather work with you to find a schedule that fits — please tell us if your circumstances have changed.
Insurance & Cancellation Fees
Cancellation and no-show fees are not covered by extended health benefits. The fee is your direct responsibility.
Reminders
We send appointment confirmations and reminders by email and SMS. These are courtesy reminders — it is your responsibility to track your appointments and provide notice if you cannot attend, even if a reminder did not arrive.
